Logistics and Details
Booking
We can offer the greatest cost savings to our hosts when events are booked at least two months in advance. This allows us ample time to book additional events in a region and pass savings along to all of our hosts and the greatest number of options for airfare and/or vehicle rental rates.
Deposit
We require 50% of the total presentation cost up front; the remaining half is due upon completion of the presentation (we also will accept full payment up front). We bill for our expenses post-event. Contact us if you prefer an all-inclusive fee.
Scheduling
For an introductory slide show and presentation, we suggest allotting close to 2 hrs. This allows 20 minutes for introduction (depending on the number of participants), 1 hour for main presentation and 1/2 hour for discussion / Q&A.
For those intending to start local organizing or who already have begun, we suggest a presentation be followed immediately by a more in-depth workshop for the likely organizers (an evening presentation, followed by a morning workshop also may be an option, depending on scheduling). Most groups schedule 1.5 - 2.5 hours.
There is no additional cost to do an intensive training in conjunction with a presentation -- even if you get local government, academic, or other groups to sponsor a public presentation, but please consult with us in advance regarding the cost for institutional presentations.
On-site Needs
- Projection screen or large, white wall (we provide our own computer for our slide presentation)
- Microphone if audience is expected to exceed 50 attendees (depending on venue).
- Table for projector (small is fine)
- Table for display items (large enough for multiple posters, decals and other items)
Travel
Our hosts pay our travel, lodging and meals expenses. We prefer to book our own air and ground transportation, however local situations may exist in which an airport pick-up is warranted, etc. Please let us know. We frequently will rent a vehicle when we book multiple events in a region. These costs are spread out among our hosts.
